General Information

2027 Show Hours

Exhibitor access to the show floor is only allowed 1 HOUR prior to show open on show days with the exception to opening day with your exhibitor badge.

The Show Office is located inside the east entrance, near the field level floor access.  Please note that the Marketplace Events staff will only be in this location the week of the event: Tuesday, February 23, 2027 to Monday, March 1, 2027.

Important Notices

ALL POWER ORDERS MUST BE MADE THROUGH BC PLACE EXHIBITOR SERVICES DIRECTLY.   

Safety Vests are required during move-in. If you do not have one, they will be for sale at Exhibitor Services.

For safety reasons during move-in/move-out, children under 16 years of age are prohibited in the building (this includes infants). This precaution is taken as there are vehicles operating in the venue, including forklifts and machinery that are dangerous to the inexperienced. 

Exhibitor Badges

All exhibitors need to display their badge on show days to gain admittance to the show floor. 

Exhibitors are given an allotted amount of badges to their booth based on square footage (see chart below). No forms or lists of names are needed as the badges are generic. If the number of badges needed for your staff exceeds the amount shown below, you can use the Exhibitor Check‑In Desk to rotate badges during the show. We’ll keep an envelope with your badges at the desk so staff can pick one up when they arrive and return it at the end of their shift.

Please note that badges do not display exhibitor or company names on them but there is space to display your business card.

0 - 100 square feet = 5 free badges 
150 - 200 square feet = 7 free badges
250 - 300 square feet = 9 free badges
350 - 400 square feet = 11 free badges

*Each additional 100 square feet gets an additional 2 badges.

DO NOT LEAVE YOUR BADGES IN YOUR BOOTH as you need them to gain access to the show floor.

SHOW INSURANCE

Proof of trade show insurance is mandatory for our shows. Coverage dates must include Move In and Move Out. Liability requirements are $2,000,000 and we require a copy of your policy sent to your Sales Representative (Tyler Griffeth for companies A-M or Carri-Anne Hoar for companies N-Z, #'s) to keep on file before February 12, 2027.

Order Form and Commercial Invoice

Canadian Border Services Event Letter of Recognition - Marketplace Events has registered the show with the CBSA Conventions Program so special duty-free and tax-free importation privileges have been granted for the show.  Please contact the shows Official Customs Broker – Cross Connect Customs & Event Logistics if you have any questions or require assistance with clearing your goods into Canada using these special privileges.

Please attach the Shipping label to each piece you are shipping. THIS IS NOT A WAY BILL. BC Place Stadium will not accept any shipments arriving earlier than February 23rd.

MOVE IN & OUT

Move-In Plan - Coming January 2027

General Move-In Hours:

Tuesday, February 23rd - 8:00am - 10:00pm

Wednesday, February 24th - 8:00am - 10:00pm (no vehicle access on lower level after 3pm) 

Thursday, February 25th - 8:00am - 11:00am (show open)

As a reminder, you must set up a profile through Voyage Control and book your move-in time using your booking code. The booking code and detailed Voyage Control instructions for move-in/out will be emailed to you by Goodkey Show services approximately three weeks before the show.

Please note that anyone on the show floor during move in and move out will require a mandatory high visibility vest as per BC Place Stadium Safety Regulations. They will be available for purchase on site through exhibitor services, or you may bring your own.

Move-out Plan - Coming January 2027

General Move-Out Hours:

Sunday,  February 25th - 6:01pm - 12:00am

Monday,  February 26th - 8:00am - 2:00pm 

Please note that all exhibitors may start to tear down their booth at 6:01 pm (NO EARLIER), and hand carry anything they want out of the building. Vehicles may NOT enter until carpets have been pulled up. 

BC Place Stadium and Marketplace Events also will be enforcing a "take out what you bring in" rule so any trash/materials left in your booth space after you move out will be charged back to you to be disposed of.  Please be sure to clean up your space when you leave.

ALL VEHICLE TRAFFIC ACCESSING THE FIELD LEVEL WILL ENTER THROUGH THE WEST ENTRANCE AND EXIT THROUGH THE EAST.

PARKING

Parking is rented through Indigo for lot 457 and lot 39, and there are limited stalls available. Parking passes are issued as first come, first served.

FOOD SAMPLING

Any exhibitor sampling food or beverage products must complete the application form below. As per Vancouver Coastal Health, certain food and beverage exhibitors may need to rent equipment such as sinks or a washing station from the venue, depending on the type of food being handled. Please reach out to Nicole to discuss what is needed for your booth.

Any exhibitor demonstrating products via a personal service such as hair styling, esthetics, facials, reflexology, massage, etc. must complete the application form below. Facebook Event Reminder: In efforts to protect potential joint customers from fraudulent events and scammers, we request that you do not create your own Facebook Event. This helps us manage ticket sales for the event, and ensures that our team are available to support both exhibitors and potential attendees with any questions, comments, or concerns that they have. Please feel free to reach out to your show manager or show marketing manager with your companies’ Facebook page and we can add you as a co-host to the official event.

EXHIBITOR TIPS

Here are five valuable tips to help get you started:

• Plan booth design in advance – tape out your square footage booked – do you have enough room for what you want to display?
• Promote your presence at the show – social media, advertising, website – we can help you with this.
• Consider a sales contest for your booth workers.
• Track your leads. Make sure you have a process for documenting people who want a follow up, appointment setting at show, etc. Click here for a LEAD CARD.

SCAM WARNING

There have been a number of spam emails offering our attendee lists. These are scams and the senders are unauthorized to use the Marketplace Events’ name. These scammers are attempting to receive monies from exhibiting companies without providing anything in return. These emails are not approved by Marketplace Events, and Marketplace Events would never ask for bank information or other sensitive information over email. As per our privacy policy, Marketplace Events is a permission-based email sender. We do not share, rent, or sell any email lists.
